Hudson Wren Portraits - Studio Terms and Conditions

At Hudson Wren, we take pride in offering a custom portrait experience that reflects our commitment to excellence. Due to the high demand for our services, sessions are often booked 1-2 months in advance. Our dedicated team collaborates across different cities to deliver exceptional portraits.

Booking & Fees

  • Booking Fee: If offered a complimentary session, your booking fee helps minimize no-shows and last-minute cancellations, ensuring all clients are equally committed to the portrait process. This fee will be converted into a studio credit for your Zoom ordering session for any portrait purchases or refunded if no purchase is made.

  • Rescheduling Policy: We require at least 7 days' notice to reschedule. Your booking fee will be transferred to a new date in our studio calendar. Rescheduling within 7 days will require an additional reservation fee.

  • Multiple Reschedules: If a session or Zoom meeting is rescheduled more than once, a non-refundable fee of $100 will apply. This fee can be applied to any purchase.

Gift Certificate Policy:

  • If a gift certificate is included with your session, it must be used within 30 days of your session date. After 30 days, the certificate is forfeited and cannot be applied to any purchases.

Cancellations & Refunds

  • Session Cancellation: If you need to cancel, you must do so at least 7 days before your scheduled session. If cancelled within 7 days, your reservation fee will be forfeited.

  • Refund Policy on Digital & Printed Products: Due to the custom nature of our products, all sales are final. This includes all digital files and printed artwork. We do not offer refunds or exchanges once a purchase has been made.

  • Payment Plans: All funds paid toward a payment plan are nonrefundable. If a client cancels their payment plan, any payments made up to that point will not be refunded, and the remaining balance will not be charged.

  • Zoom Appointments: If you are a no-show for your scheduled Zoom ordering appointment, a non-refundable $100 rescheduling fee will be required, and your booking fee will no longer be refundable.

Appointment & Session Policies

  • Late Arrival Policy:

    • Arriving 20 minutes late to a session will automatically cancel without a refund.

    • Arriving 10+ minutes late for your Zoom reveal will result in automatic Zoom cancellation, which must be rescheduled. Your reservation deposit remains non-refundable, but if rescheduled within 28 days of your portrait session, it may be applied towards a purchase.

  • Gift Credit Policy: Gift credits are only valid during the Zoom appointment and will be void if not used at that time.

Client File & Product Policies

  • Client File Access: Digital files are available for 28 days following your session. After that time, we cannot guarantee that we will have them on file.

  • Product Warranty: Due to the custom nature of our products, all sales are final. However, we offer a lifetime warranty for any issues or defects with our prints and finished products.
